Privacy Policy

Effective Date: October 12, 2026

1. Overview

Legacy Nine, LLC (“Legacy Nine,” “we,” “our,” or “us”) provides technical infrastructure architecture and business operations consulting. This Privacy Policy details how we handle information collected through our website, contact channels, and authenticated client billing portal at https://www.legacy-nine.com.

2. Information We Collect

We collect only the information necessary to provide services and communicate with clients:

  • Inquiry Details: Names, email addresses, and message contents submitted through our direct contact forms.
  • Portal Authentication: Account numbers and login credentials used by authorized personnel to access the billing portal.
  • Billing & Transaction Data: Invoices, account IDs, and transaction records handled via our enterprise accounting integrations.

3. QuickBooks Online & Financial Integrations

Legacy Nine connects to Intuit QuickBooks Online via secure APIs to facilitate invoice viewing and account status for our clients.

  • Data accessed via Intuit APIs is strictly used for business accounting, ledger validation, and processing account balances.
  • We do not sell, rent, monetize, or repurpose accounting or financial data for marketing or commercial profiling.

4. Cookies & Session Management

We do not use third-party tracking pixels, cross-site analytics, or advertising cookies. Our use of cookies is strictly limited to site operation and session management:

  • If you access the billing portal or administrative login, a temporary cookie is set to verify whether your browser accepts cookies (containing no personal data and discarded upon closing the browser).
  • When logging in, standard session cookies maintain your authentication status and interface preferences. If “Remember Me” is selected, the login session persists for up to two weeks. Logging out clears these cookies immediately.

5. Data Sharing & Third Parties

We do not sell client data. Information is disclosed solely as required to run authorized workflows:

  • Service Providers: Technical processors required for site operations, such as secure SMTP delivery for contact requests and Intuit API services for accounting validation.
  • Legal Compliance: When strictly mandated by legal obligations, court orders, or enforceable governmental requests.

6. Data Security & Retention

We maintain technical and physical controls—including TLS encryption across all connections—to safeguard data. Billing and account records are retained only as long as necessary to fulfill contractual agreements, satisfy legal and tax record-keeping requirements, and resolve account balances.

7. Inquiries & Rights

Authorized clients may review, update, or request the deletion of non-statutory account data by submitting a request via our contact page or directly through their assigned account representative.
